Lung Cancer Europe is the voice of people living with lung cancer and their families with lung cancer at European level. LuCE provides a European platform for lung cancer patient advocacy associations and networks and supports the establishment of national lung cancer patient groups in those European countries where such groups do not yet exist.
Overall Purpose
Lung Cancer Europe is seeking dynamic junior administrative assistant who will thrive in a non-profit pan European patient advocacy with members in over 23 countries. You will be part of the operations team providing administrative cross-functional administrative support to the board members as well as the operations team. Your Key Responsibilities
Reporting to Board members and under the supervision of the Head of Operations, the Junior Administrative Assistant will provide daytoday administrative support to ensure smooth running of Lung Cancer Europe’s operations and planned projects.
Tasks include:
– Maintaining office systems: filing, records, supplies ordering and vendor liaison
– Support HR and finance tasks: onboarding paperwork, expense reports, basic invoicing
– Support basic budget and procurement tasks: preparing simple cost estimates, checking invoices against contracts, and keeping track of project related expenditures.
– Coordinate meetings, travel arrangements and company calendar
– Produce and format documents, reports and presentations
– Improve office processes and support ad-hoc projects as needed
Must-have skills & experience
– 2+ years in an administrative or office support role
– Strong written and verbal communication skills
- Proficient with MS Office (Word, Excel, Outlook) and digital collaboration tools
- Comfortable using Monday.com, Calendly and modern notetaking or AI assisted productivity tools for scheduling, documentation and filing.
– Proven ability to work accurately with numbers and follow internal procedures for finance, procurement and recordkeeping
– Excellent organisation, prioritisation and time management
– High attention to detail and accuracy
– Customer-service orientation and professional phone manner
– Discretion and ability to handle confidential information
– Ability to work independently and collaborate with a small team
Desirable skills & experience
– Diploma or certificate in business/administration
– Experience with HR systems (e.g., BambooHR) and onboarding tasks
– Basic Monday.com
– Experience coordinating travel, events or executive support
– Strong document formatting and presentation skills (PowerPoint)
– Process improvement mindset and experience implementing office
